Lesson 20 of 21 · 1:30

When the team changes

Joining by email domain, and deactivating without erasing.

Written guides for this lesson

  • How do I add and remove people from my workspace?

Invite them by email or with a link, let them join themselves from an email domain you list, and when someone leaves deactivate them — which ends their access and frees the seat while keeping their name on the plans they drew.

Transcript

0:03Every team changes. Someone joins for the season, someone moves on, and the person who set up last year's gala isn't here any more.

0:11Team is the whole workspace. Everyone in it sees the same events, the same diagrams and the same venues — roles decide who can manage billing, venues and people, never who can see what.

0:23You can invite one person at a time, by email, or with a link that works once and lasts fourteen days.

0:30Or you can stop inviting people one at a time. In Workspace settings, list the email domains your organisation uses.

0:38Anyone with a confirmed address at one of them can join the workspace themselves. They still sign up and still confirm their email — you just don't have to add them by hand.

0:48Public email providers are refused. A workspace is one shared filing cabinet, so opening it to everyone at a free mail service isn't something we let you do by accident.

0:58Now the other end of it. When someone leaves you can remove them — or deactivate them, which is usually what you actually want.

1:06Deactivating ends their access straight away and frees the seat, but keeps their name on everything they drew. A year from now, when someone asks who built that room set, the diagram still says.

1:17And if they come back, you turn them back on. Same person, same history, nothing to rebuild.
