Venue setup offer

Send us your floor plans. We’ll build your venue — free.

We draw what your plan would include — your main event space if the property has up to three, up to five of your event spaces if it has up to ten — traced to real scale and delivered into a workspace of your own. No cost, no card, no sales call, and the drawings stay yours whether or not you ever subscribe.

The offer

Four things, and none of them expire quietly

Your event spaces, drawn for free

Send the PDFs from your sales kit and we draw what the plan your building fits includes: a property with up to three event spaces gets its main one drawn, and one with up to ten gets up to five. We trace the real perimeter — never a bounding box — and verify the dimensions against two independent scale references before you see them. Airwall sections come with it, so every combination derives from one drawing. The plan’s standard setups — banquet rounds, theater, classroom: three on Small Venue, ten on Venue — are handed over when you choose it.

It lands in your own workspace

Not a PDF we email you — your venue, in an account that belongs to you, with each event space we drew to scale and the airwall sections set. There’s no card anywhere in this, and no call to sit through.

3D, sharing and exports with a plan

Once you subscribe, every space we drew is a 3D walkthrough as well as a plan, and every layout you build in it shares from one link and exports to PDF. Show a client the sightline from the back of the ballroom instead of describing it — from the same drawing, at the same scale.

The drawings are yours either way

If you don’t continue, nothing gets deleted and nothing gets held hostage. Your event spaces stay drawn in your workspace for as long as you want them, and the day you subscribe they’re ready to use.

How it works

Three steps, and a sales call isn’t one of them

01

Send your plans

Floor-plan PDFs, an architectural set, a capacity chart, even a photo of the laminated sheet at the banquet desk. Whatever you have is a fine place to start.

02

We build your venue

We trace each event space to scale, name it the way your sales kit names it, and set the airwall sections. You get a note when it’s ready to look at — usually within a few business days.

03

It lands in your workspace

Your event spaces arrive drawn to scale, and they stay in your workspace from that moment. When you want to lay a real event out in them, share them or walk them in 3D, the Unlock button on your venue’s page starts a plan with a free week: Small Venue at $49 a month if we drew one event space, Venue at $149 if we drew up to five. That step goes through checkout, so it asks for a card, and you can cancel from the billing page before anything is charged.

Why we do this

The honest version

Getting a venue’s floor plans into diagramming software is the worst part of switching, and every vendor knows it. It’s why annual contracts exist: once the rooms are in, the pain of doing it again holds the account in place. We’d rather not compete that way.

So we do the setup work up front, at our cost, and let the drawings be yours from the first day. That only works as a business if the software is good enough that you stay because you want to — which is exactly the pressure we want on ourselves. Billing is monthly, everything exports on every plan, and the drawings never stop working — not when a trial ends, not if you never subscribe at all.

One real constraint, stated plainly: we trace these by hand, so the queue is finite and we take venues in the order they arrive.

What to send

Whatever you already have

Floor-plan PDFs from your sales kit

The pages you already email to planners. These are usually the single best source, because they name the spaces the way your team names them.

Capacity charts

The grid of setups and maximums per space. It gives us the numbers to check our drawing against, which is half of the verification.

Architectural drawings

A CAD export or a scanned sheet. Slower to read than a sales PDF, far more accurate — send both if you have both.

A photo of the printed diagram

The laminated sheet at the banquet desk is a legitimate starting point. It’s enough for us to open the conversation about scale.

Not sure it’s enough? Send it anyway — we’ll tell you what’s missing rather than guess. What makes a converted plan accurate, and the other ways in (importing an existing diagram, drawing the space yourself), are in the guide How do I get my venue’s floor plans into EventDiagram? We never publish or resell the files you send; they’re inputs to your drawing and nothing else.

Questions

What venues ask before sending plans

What does the conversion actually cost me?

Nothing, for the event spaces your plan would include: your main event space if the property has up to three, up to five if it has up to ten. There’s no setup fee and no card on file. You send the plans, we build the spaces, and they land in your workspace, drawn and yours to keep. Laying out events in them, sharing them and walking them in 3D is the part that needs a plan — Small Venue is $49/month when we drew one event space, Venue is $149/month when we drew up to five, and either starts with a free week through normal checkout whenever you’re ready. Checkout asks for a card.

What’s the catch?

That we think you’ll keep it. Drawing your venue is a one-time cost for us and a permanent asset for you, so we’d rather spend that work up front than argue about it in a demo. If the tool doesn’t fit how you sell, you keep the drawings and we’ve lost a few hours — that’s a bet we’re happy to take.

How many event spaces are included?

It depends on the size of the property, because we draw what its plan includes. Up to three event spaces: we draw the main one, and you can add the others yourself or have us draw them for a one-time fee we quote with you. Up to ten: we draw up to five — enough for a ballroom, its divisions and the breakouts your sales kit leads with — and past five, the rest is a one-time fee, quoted. More than ten event spaces is a Large Venue, scoped in one call. The standard setups that come with the plan — three on Small Venue, ten on Venue — are handed over when you choose it. An event space is one you actually book: back-of-house like a stage or a pre-function corridor doesn’t count, and neither do the airwall combinations, because those derive from one drawing rather than being drawn separately. If you run several properties, tell us and we’ll scope them together.

What if my plans are old, marked up, or not to scale?

Send them anyway. A marked-up PDF, a scanned architectural sheet, a capacity chart, a photo of the laminated diagram at the banquet desk — all of it is usable, and more sources make a better drawing. We verify every dimension against two independent scale references before you see it, and we ask you rather than guess when the sources disagree.

Do I have to move off my current tool?

No. Run both. Your venue sits in its own workspace while your current system carries on untouched, so you can open each event space we drew and check the dimensions before you decide anything. When you want to plan a real event in it side by side, the free week covers that. Nothing here asks you to cut over on a date.

What can I do with my venue before I pay anything?

See every event space we drew, to scale, in your own workspace, for as long as you like. What needs a plan is using them: building layouts, sharing them and walking them in 3D, and that’s the point at which you decide. Nothing is taken away if you say no: we won’t delete your spaces or hold them for ransom. You gave us your floor plans; you don’t lose them by not subscribing.

Who ends up owning the drawings?

You do. They’re your spaces in your workspace, kept on any plan, including the free one. We also don’t republish anything you send us — the source files are inputs to your drawing, not something we redistribute.
