How do I add setup notes to a floor plan?

Open Setup notes on the left rail and type what the crew needs that does not belong on the drawing: timings, linens, who to call. The notes print beside the plan on the PDF and the print sheet, and show on the share link.

Some of what a crew needs is not a shape on the floor: what time the doors open, which linens go where, who signs off the riser. Written on the drawing it covers the plan. Setup notes keep it beside the plan instead.

Write the notes

  1. Open the diagram and click Setup notes on the left rail.
  2. Type the notes, one item per line: Doors 5:30 pm, Linens: ivory, floor length, Riser goes in before the rounds.
  3. That is all. Notes save with the diagram as you type.

A small dot on the Setup notes tab shows when a plan has notes, so whoever prints it knows there is more than the drawing.

Where the notes appear

  • The PDF. In a column beside the plan, each line as its own item. Long notes carry on to a second page rather than being cut off.
  • The print sheet. Beside the plan, or below it when there is a lot to say.
  • The share link. Under the plan, for the client or the crew who open it.

Anyone with the share link can read the notes, so keep them to what the crew and the client should see.

Notes travel with the plan

Notes are part of the diagram. Undo takes back a whole round of typing, and duplicating the diagram copies them. If two people edit the notes at the same moment, nobody's words are spliced into anyone else's.

To print the plan with its notes, see export a floor plan as a PDF. To send it, see share a plan with a client.
