The arithmetic

Where the “10 square feet a person” rule breaks

Square feet per guest is a useful sanity check and a poor planning tool, because a room is not seated by area — it is seated by whether a whole table plus its ring of chairs fits in the space left after the aisles. Two rooms with identical square footage seat different numbers depending on their proportions, and a long narrow room loses more to its own perimeter than a square one does.

So the count starts from a footprint, not an area. One unit of a seated layout is the table plus a 2ft 4in chair pull on every side that has chairs — the floor a seated guest and their pushed-back chair genuinely occupy — plus the gap between units. The room gives up a clear aisle at every wall before any of it is placed. What is left is divided by the footprint in both directions, and the answer comes back as rows and columns rather than a total that may not fit any real grid.

Two setups are exceptions worth knowing. Classroom seating puts chairs on one side of the table only, so the pull is added once rather than twice and a classroom set fits noticeably more tables into the same depth. Theater seating has no tables at all, but it does have a rule the others do not: a bank of chairs cannot run more than about fourteen wide or twenty deep before an aisle has to break it up, which is why a very wide room does not simply seat one enormous row.

Room capacity by room size

Seats that fit when the room is actually drawn to scale, with a 5ft clear aisle at every wall. These are the calculator’s own outputs, not a separate table someone typed — which is why they are lower than the capacity chart figures further down, and why that difference is the useful part.

A 30 × 20 room takes no 72″ rounds at all once 5ft comes off each wall: one table plus its chair ring is 10ft 8in square, and two of them will not go in the 10ft of depth that is left. That is not a rounding error, it is the room telling you to use smaller tables — the sort of thing an area formula cannot say. Notice too that 120 × 80 seats more at 60″ rounds than at 72″: the bigger table packs worse into that particular width. Grids do that, and it is the whole reason to draw the room rather than divide it.

Seating capacity per square foot, by setup

This is the figure venue capacity charts are built from, and the one the calculator reports alongside its own answer. It is genuinely useful for a first pass over a floor plan you have not seen. It is not what the room holds on the day, because a chart is measured with nothing else in it — no dance floor, no stage, no buffet line, no path to the kitchen.

Read the two tables together and the gap is the planning conversation. A 2,400 sq ft room charts at 177 guests on 60″ rounds and draws at 64 with 5ft aisles all round. Neither is wrong. The chart is the room empty and packed; the drawing is the room with circulation you can actually serve through. Drop the wall aisle to 3ft in the calculator and the drawn number climbs immediately — and that is a decision someone should be making on purpose rather than discovering at load-in.

Choosing

How to choose the right seating layout

Theater against classroom. Theater seats roughly twice what classroom does in the same room. If people need to write, use a device, or keep anything in front of them for more than an hour, that doubling is not available to you and pretending otherwise produces a miserable session. Classroom at 6ft tables three across is the honest default for training.

60″ against 72″ rounds. A 72″ round seats ten to a 60″’s eight, so it looks like the denser choice and usually is by area. But it packs differently, and in a room whose width does not suit it you can end up with fewer seats and a worse aisle pattern — the 120 × 80 row above is exactly that. Try both; it takes seconds.

U-shape and boardroom. Both are discussion shapes with a large hole in the middle, so they cost about 30 square feet a person. They are the right call up to roughly 25 people and the wrong call above it, at which point the room is mostly table.

Reception and networking. Standing guests need 6 to 8 square feet each, but the number that matters is not the total — it is whether the bar, the food and the doors are far enough apart that the room does not knot. FAQ

Room capacity questions

How do you calculate the capacity of a room?

Take the room’s length by its width, subtract a clear aisle at every wall, then divide what is left by the footprint of one seating unit — a table plus its ring of pulled-back chairs — in both directions. Multiply the resulting rows by columns by the seats per table. The quick version is floor area divided by square feet per person: 9 for theater, 13.5 for 60″ rounds, 18 for classroom. The quick version will always give you a bigger number than the room really holds.

Is this a legal occupancy number?

No, and you should be suspicious of any software that says otherwise. Occupant load and egress are set by your building’s adopted code and by the authority having jurisdiction — your fire marshal — not by a packing calculation. What this tells you is how many tables and chairs physically fit at sane spacing. Those are different questions, and the second one is the one that ruins a load-in.

How many square feet per person do I need?

Theater 9, banquet rounds 12.5 to 13.5 depending on table size, cabaret 16, classroom 17 to 18, U-shape or boardroom about 30, standing reception 6 to 8. Those are the planning figures the whole trade uses and they are what venue capacity charts are built from. Treat them as the ceiling rather than the plan.

Why does my number differ from the venue’s capacity chart?

Usually because a published chart is a maximum measured without the things your event actually contains — a dance floor, a buffet line, a stage, a bar, the path to the kitchen. It is also often inherited rather than measured. Draw the room with what is really going in it and you get the number that survives contact with the day.

Does the calculator cost anything?
